Utilization of University Facilities and Campus Space
The facilities at Francis Marion University and the acreage which comprise the campus exist to support the educational mission of the University. Requests for the use of facilities by students, faculty and staff which address academic and student life needs are given first priority. Other requests to use University space are given due consideration as they impact the educational mission and resources of the University. Facilities use is coordinated through a committee and administered as necessary by the Office of Financial Services.
To coordinate the various needs for space and to prevent conflicting events, the use of University space must be approved by the University Space Committee using the following procedure:
To Reserve Campus Space:
Check Availability - Contact the Space Coordinator in the Office of Financial Services at 661-1133 to determine if space is available.
File Forms

Obtain a Facilities Reservation Request form from the Office of Financial Services and complete and return the form as directed.

Also file a Campus Event Service Request and/or a Dining Services request (see below for additional information), if appropriate for your event.

Requests by Student Organizations - Please note that the advisor’s signature is required for all student organization requests for campus space and services. Some student organization requests may also require the signature of the Director of Student Life.
Timing - Space should be requested and forms should be filed at least two weeks prior to the event (earlier for large events or those requiring special preparation). Cancellations must be given at least 48 hours prior to the event. Call 661-1133 Monday through Friday or on weekends call 661-1109.
Approval Required - Space use is not approved until notification is received from the Space Coordinator.
Student Organizations & the University Center
To Initiate a Campus Event Services Request:
Services Requiring a Campus Event Service Request Form - If a particular meeting or event requires any services other than the opening and closing of facilities or the provision of existing seating and lighting, please complete the Campus Event Services Request form.

Set-Up Services - Contact the Director of Facilities Services at (843) 661-1108 to coordinate set-up services. In the absence of the Director of Facilities Services, please contact the Superintendent of Custodial Services at (843) 661-1103

Audio Visual Equipment and Services - Call the Media Center at (843) 661-1250.

Campus Event Service Request Form - this form is available from the Office of Financial Services at (843) 661-1133.
Timing - The Campus Event Service Request form should be submitted for approval at the same time campus space is reserved. It should be submitted at least three weeks in advance. Requests for major events should be coordinated with the Director of Facilities Services as far in advance as possible.
Approval Required – The Campus Event Service Request form is not approved until notification is received from the Director of Facilities Services in the Office of Facilities Management.

To Request Dining Services:
Sodexho Special Event Order Form
If dining services are required, the user group may obtain Sodexho Special Event Order forms and menus from the Office of Financial Services (661-1133) or from Dining Services (661-1260).
Contact 661-1262 to coordinate menus and services with the Sodexho Catering Manager.
Timing - A Special Event Order Form should be submitted complete with the appropriate authorizing signature(s) at least three working days prior to the event. The form will not be processed unless a Facilities Reservation Request has been approved by the Space Committee.
Approval Required - The Sodexho Special Event Order form is not approved until notification is received from the Director of Dining Services.
